As products are added to your trolley, the trolley summary panel on the right of the screen will show the ‘Total (estimated)’ of your shopping, the products ordered and individual prices.

The total cost shown is an estimated total. The final total will not be calculated until your order is picked in branch, and your payment card will not be processed until the order has been picked. This allows for any slight variances in weighed items, and also any multivalue offers, e.g. 3 for 2, which are not shown in your trolley, but will be calculated when your order is processed in branch. When you receive your order, you can refuse any item if you are unhappy with the price. The estimated cost does not include the delivery or collection charge. View our pricing policy for more details.

The products you’ve chosen will appear in the centre of the page, sorted by aisle. The estimated total will appear on the right, along with any savings made, excluding multivalue offers which will be applied when your order is processed in branch.

Set your substitution preferences

We make every effort to ensure all products are in stock. However, if an item you require is not available, you can request a similar substitute product.

If a substitution is made, you will always be charged the lower of the two prices (excluding weighed items), but if it's not what you want you can refuse it.

You can set your substitution preferences globally, that is for all the items in your trolley. Or you can set them for individual items as you shop.

To accept substitutions on all unavailable items in your trolley:

  • Leave the ‘Allow substitutions for all’ box at the top of the 'Your shopping trolley' screen ticked. (This is set to default to accept substitutions, unless you specify otherwise.)

Any unavailable product will be replaced with a logical choice made by your personal shopper. This may vary by brand, size or flavour but we will find the closest match to your requirements. You can add a note to your personal shopper to guide them should they need to substitute an unavailable item, e.g. ‘If no organic avocaodos, non-organic are OK’

To refuse substitutions on all unavailable items in your trolley (setting a global option):

  • Click on the ‘Allow substitutions for all’ box at the top of the 'Your shopping trolley' screen to uncheck.
  • Click on the 'Save changes' button at the bottom of the page.

This means products you select will not be substituted if they are not available. However, this may also mean you don’t receive everything you need in your shopping.

To set substitution options by product as you shop

If you’ve left the ‘Allow substitutions’ box at the top of the ‘View Trolley’ screen ticked:

  • Click to remove the tick in the ‘substitute if not available’ checkbox next to any product you do not want to be substituted. Click on ‘save changes’.

If you’ve unticked the global ‘Allow substitutions’ box at the top of the ‘View Trolley’ screen:

  • Click to tick the ‘substitute if not available’ box beside an individual product you would like substituted. Click on ‘save changes’.

To tell your personal shopper what substitute you’d prefer:

  • Type your message into the ‘Add note to personal shopper’ box beside the product.
Example: If there are no brazil nuts, please send walnuts.

Write notes to your personal shopper

There’s a ‘Note to personal shopper’ box on every product. This is your chance to talk directly to the Waitrose shopper who will be selecting your goods. You can be more specific about the product you wish to purchase, or tell us more about your substitution preferences for this product.

To write a note for a product:

  1. Click on the ‘Add note to personal shopper’ symbol.
  2. Type your message into the box.
    Example: Extra firm tomatoes please
Example: If you don't have Persil, please select Ariel
  3. Click on 'Save note'.

Go through the checkout

What happens if something I order is unavailable?

We make every effort to ensure all products are in stock. However, if an item you require is not available, you can request a similar substitute product.

If a substitution is made, you will always be charged the lower of the two prices (excluding weighed items), but if it's not what you want you can refuse it.

You can set your substitution preferences globally, that is for all the items in your trolley. Or you can set them for individual items as you shop.

Can I make special requests?

Yes! You can add notes to your trolley or shopping list to specify any special requirements for an individual product.

At Waitrose we do our very best to ensure your shopping is done in the way you’d do it yourself. You can also add a comment for your whole order when you checkout your shopping such as ‘We have a big dog who barks – but don’t worry he doesn’t bite!'

How can I request traceability information for beef/veal?

You can use the ‘notes’ tool on the site to add a message against any beef or veal products.

To request traceability information of the products:

  1. Add the product to your trolley.
  2. Type ‘Traceability information please’ in the ‘Add note for your personal shopper" box

We will then provide the following information on the product:

  • A reference number or code (this ensures a link between the meat and the animal or group of animals from which it is derived)
  • The member state or third country where the animal was slaughtered
  • The licence number of the slaughterhouse
  • The member state or third country where the meat was cut
  • The licence number of the cutting plant
    e.g. "HA UK 7135 UK 2045"
